What to bring to your appointment

New and current patients – Please remember to bring to your appointment:

  • New patients – Please arrive early to fill in a new patient and medical history form
  • Your valid Medicare, DVA, Seniors or Concession Card
  • A list of any medications or allergies or recent test results
  • Overseas visitors welcome – Fees apply. Claim insurance refund through your provider.

Fee Information

Gap Fees

Why is a GAP fee being introduced to some appointments: Medicare is a public health insurance scheme. The rebates provided to you via Medicare are a subsidy toward the payment of your doctor’s appointment (they don’t cover the total cost of your appointment).

To maintain a high-quality healthcare service for all our patients and attract the very best Specialist General Practitioners, we have made the decision to move to “mixed billing” as recommended by Royal Australian College of General Practitioners and Australian Medical Association. 

Gap Fees – How they work

The total cost of your appointment will depend on the amount of time spent with your General Practitioner (GP). If the time required to discuss your medical issues is longer than a standard appointment, a long consult will be charged. Your out-of-pocket expense however will remain the same, just the upfront payment will be higher.

The payment process works as follows:

  1. You pay the total amount (as outlined in the total fee column).
  2. We then process your Medicare rebate (this is the money that you can claim back from Medicare). This is done immediately onto a physical debit card.

Please note – We are unable to process rebates for mobile phone tap-and-pay and credit cards. If you do not have a physical debit card, you will be provided a receipt for which you can make the claim online or we are able to submit the claim online for you as long as you have current bank details lodged with Medicare.

Mixed Billing

Mixed billing is referred to when an out of pocket (Gap) fee applies to consultations and procedures.

For GAP fee appointments: DVA Card Holders, Pensioner Concession Card Holders, Children under 16, Health Care Concession Card Holders and Seniors Card Holders are charged a discounted gap fee. When a Gap fee is applicable to your appointment, and you hold a valid Medicare Card, you will be eligible to receive the Medicare Rebate as a subsidy towards the cost of your consultation or procedure.

Will I know the cost of my appointment before I come in?

Our reception team will try to give you an accurate estimate about the likely costs of your appointment. Your doctor will confirm the cost of your appointment based on your health needs, appointment length or necessary procedures. We have tried our best to keep the gap payment as consistent as possible across all appointment types.

Please be advised that whilst reception can give you an idea of what your consultation fee may be, this may change during your consultation depending on the time spent and complexity of the consultation.

Please note – Some procedures are not covered by Medicare. Any additional charges will be discussed prior to the consultation/procedure.

Workers Compensation

For workers compensation or motor vehicle third party matters – We require your claim number to bill the relevant insurance companies.

Allied Health Professionals

For fees regarding Allied Health professionals, procedures and other treatments please enquire at reception or please call (02) 4647 1133.

Why do we charge the full fee and not just the gap amount?

Current legislation makes it illegal to charge a gap fee only. Please pay the full fee at the end of your consultation. If you are eligible for a Medicare rebate, the full rebate amount will be processed at the practice at the time of payment.

Telehealth – Video/phone consultations

Phone/video consultations booked into a GAP fee slot will incur an out of pocket fee. For telehealth appointments booked into bulk billing slots, there will be no gap fee.

You will be able to make payment over the phone with reception or we can send you a secure link via Medipass that will allow you to pay online. We can then submit your Medicare rebate claim online on your behalf, with the rebate deposited into your bank account within 2-3 business days.

Bulk Billing Criteria – From 1st November 2023

WEEKDAYS – Many consultation appointments are still Bulk Billed for all ages – Some consultations will attract GAP fees.
WEEKENDS – GAP fees for all appointments will apply to those over 16 years old except for valid Centrelink Card Holders & DVA Card Holders.

All procedures will attract an out of pocket fee – Please confirm cost with your doctor before/during your appointment.

The following will be Bulk Billed:

  • Chronic Disease Management Plans & Mental Health Care Plans
  • DVA Card Holders & Centrelink Card Holders
  • Children under 16 with a valid Medicare Card.

WEEKENDS – Seniors Card Holders are charged a discounted gap fee of $20.

Access to healthcare for everyone is very important to us. Therefore, only a small number of GAP fee appointments will be introduced for each doctor each day. The rest of the appointment slots will still be Bulk Billed for all Medicare Card holders.

Optimal Health Medical Centre will be making Bulk Billing appointment slots available for as long as it can be sustained.

Monday to Friday & Saturdays before 1:00pm

Standard Consultation Fees

From 1st November 2023 – The following appointments will be BULK BILLED:

  • Chronic Disease Management Plans & Mental Health Care Plans
  • DVA Card Holders & Centrelink Card Holders
  • Children under 16  with a valid Medicare Card.

Gap fees now apply for all doctors from 5pm onwards (Monday to Friday) for patients 16 and over who do not hold a Centrelink concession card.
All Walk-In Patients – Attract the $30 gap fee Monday to Friday if the bulk billing eligibility criteria are not applicable.

  • Biopsies and excisions
  • Pre-employment medicals – Private billing as not covered by Medicare (please arrange pre-payment)

Frequently Asked Questions & Policies

To be eligible for a telehealth appointment – Patients must have had at least 1 face to face consultation with a doctor at the practice within the last 12 months.

If you, a friend or family member require an interpreter for your consultation, please let us know when you book your appointment – Call (02) 4647 1133

Results will not be given out over the phone – Why?

For purposes of privacy, accuracy and confidentiality as well as medico-legal reasons, pathology and imaging results will NOT be given over the phone nor be given to any third party unless prior arrangements have been made between you and your doctor.

We generally do not do home visits, however this can be discussed and booked if appropriate at a cost of $250 per home visit.

We will organise home visits on a case by case basis in special circumstances. We encourage patients to attend the clinic where we can access our full range of equipment so we can provide the best medical care and advice. Call (02) 4647 1133

Due to confidentiality reasons – Phone calls from patients are generally not taken by the doctors during a consult due to confidentiality reasons.

Where appropriate you may leave a phone message for your doctor and they will make every effort to return your call within 24 hours.

If the matter is urgent, the doctor will take the call. In an emergency call “000”.

Walk-In Appointments – We strive to accommodate walk-in patients whenever possible. Walk-ins will be seen by the first available doctor on the day. We recommend calling the practice ahead of your visit to ensure we can accommodate you – Please call (02) 4647 1133.

Please note that gap fees apply for patients aged 16 and over who do not hold a Centrelink concession card.

The Health Information we collect may be collected by a number of different methods, and may include, but not limited to: medical test results, notes from consultations, Medicare details, data collected from observations and conversations with you, and details obtained from other health care providers (e.g. specialist correspondence).
